The Whirly-Girls Board of Directors currently consists of ten volunteers: President, Vice President of Operations, Secretary, Treasurer, Vice President of Membership, Vice President of Scholarships, two Scholarship Directors, Vice President of Marketing, and Immediate Past President.
All but the Immediate Past President are elected positions that are held for two years; once a new president is elected, the previous president becomes the Immediate Past President to support the board and help maintain continuity.
In recent years, the load on the marketing side of the organization has increased:
To effectively communicate our vision, manage our activities, increase our fund-raising capabilities, and allow us to expand our role, the Board of Directors proposes creating two additional board positions: Director of Merchandise and Director of Media. These two directors will report to the Vice President of Marketing, whose position description follows.
Vice President of Marketing
The Vice President of Marketing shall be responsible for communicating our mission and ideals; developing and maintaining the strategic marketing plan including social media, communication, and merchandise objectives; planning and overseeing fund-raising activities; overseeing budgeting, development and distribution of printed, promotional, and marketing material; and analyzing engagement rates for events as well as online and social media activity with the goal of developing the outreach plan and increasing engagement. She shall be responsible for ensuring the integrity of the Whirly-Girls brand in all online platforms, electronic and printed materials, and merchandise. She will coordinate the activities of the Director of Merchandise and Director of Media to complete these objectives. The board may add to, take away from, or otherwise readjust the Vice President of Marketing duties as necessary for the smooth operation of the organization.
Here are the new board position descriptions:
Director of Merchandise
The Director of Merchandise shall be responsible for managing the process of budgeting, ordering, shipping, sales, and storing of Whirly-Girls merchandise at HELI-EXPO and other outreach events. These duties shall include, but not be limited to, researching merchandise procurement for sales, generating and submitting requests for proposals, and submitting purchase orders to the Vice President of Marketing for approval; overseeing management of online sales platforms to include the online store(s) and silent auction; ordering and shipping logistics for all outreach events, as well as storage of all Whirly-Girls merchandise; securing and furnishing the merchandise booth for HELI-EXPO and other outreach events; negotiating and signing contracts for industry trade shows; and obtaining help for the set up, staffing, and tear down of the booths. The board may add to, take away from, or otherwise readjust the duties of the Director of Merchandise as necessary for the smooth operation of the organization.
Director of Media
The Director of Media shall be responsible for the effective and accurate communication of the organization’s mission and activities through electronic and printed media. These duties shall include, but not be limited to, overseeing budgeting, compilation, and production of the printed newsletter, The Collective Pitch; managing and disseminating official communications to include creation and distribution of organizational announcements, emails and press releases; overseeing the Social Media Committee and coordinating social media tasks; coordinating with the Webmaster to insure effective and consistent messaging and branding; and compiling and analyzing engagement rates for social media and website activity. She will organize necessary press briefings and will submit organizational statements as required. The board may add to, take away from, or otherwise readjust the duties of the Director of Merchandise as necessary for the smooth operation of the organization.
Creation of these two additional board positions will be on the upcoming ballot. Be sure to renew your membership so you can participate in this important election. Ballots will be distributed in January and counted at our annual business meeting in Atlanta on March 4, 2019.
